Dashboard Guide

Your property's operations dashboard — everything at a glance

What is the DashboardThe starting point of every day

The Dashboard is the operations centre of your property. It is the first screen you see when opening the app and shows you at a glance everything that requires your attention.

Open the app → Check alerts → Manage check-in/out → Review bookings

From top to bottom the page shows: the notification banners for urgent situations, the day of Today in four numbers, the occupancy of the Next 7 days, the shortcuts (POS, Till and the others) and the new bookings received. On a phone the shortcuts move to the top, right after the banners and before Today.

In the top bar you find «New Booking», to enter one without going through the calendar, and the search: on a computer it is a box at the top of the page, on a phone it is the magnifying glass in the bar. Type a name and the Bookings list opens with the search already done; it stays visible as a filter and you remove it from there.

Pull down to refresh all data (pull-to-refresh).

Today: the day's four numbersCheck-in, check-out, at home and messages

Below the banners, the Today block sums up the day in four tiles: four side by side on a computer, two per row on a phone. Every tile can be tapped and opens the list to work through.

TileWhat it saysTapping it
Check-inHow many of today's arrivals are already registered, out of how many expected, and below it how many are still to doOpens today's arrivals
Check-outThe same for today's departuresOpens today's departures
At homeThe units occupied tonight out of the sellable ones, and the occupancy percentageOpens Occupancy
Messages from channelsThe conversations with channel guests that have something to readOpens Messages

How to read the counters

  • 3 / 5 and below it 2 still to do — 3 check-ins completed out of 5 arrivals expected today.
  • When the «still to do» line disappears, that part of the day is closed.
  • 0 / 0 — no arrivals or departures expected today.

Rooms IN / Rooms OUT

If there are extra rooms arriving or departing (beyond standard check-in/out), they are shown in an additional row below the main buttons.

The extra lines in «At home»

Below the percentage, the At home tile can show two more lines, only when they are needed:

  • «N stayovers» — guests who are staying on: they were already here yesterday and are not leaving today, so they are neither arrivals nor room changes.
  • «N out of order», in orange — the units blocked or under maintenance tonight, i.e. the ones the «/ total» count already leaves out. Tapping it opens Not sellable tonight: for each unit its name and type, Maintenance or Blocked, the reason if there is one and, for maintenance, «until …» with the last night.

Cancelled today

Below the four tiles, Cancelled today appears only if at least one cancellation arrived today: from a channel, from an expired Booking Engine booking or made by hand. It shows how many there are and, below, the nights released. Tapping it opens the list with name, dates and channel; tap a row to open the booking. It counts cancellations from 22 October 2026 onwards: earlier ones do not appear.

At home and arrivalsWho is in-house and who is arriving

  • At home — the Today tile opens the Occupancy list: all the guests in the property right now, with their assigned room.
  • Arrivals — the list of bookings arriving in the coming days (not just today) opens from the «N arrivals» link in the Next 7 days tile. Useful for planning ahead.

Children's ages, under the counts

Where a booking brings children, the declared age of each one appears under the per-bracket counts: a number of years, Under 1 year, or Age not declared where it is missing. It is there to be acted on before you meet the guest: cot or bed, high chair, activities by age group.

The line is in Check-IN — both on the booking row and on the row of each room — and in Arrivals, on the booking row. In Occupancy and in Departures it is not. Nor is it on a booking of adults only: where there is nothing to say, nothing is written.

The difference from Check-IN is that Arrivals also shows those in the coming days, while Check-IN shows only today's with completion status.

Next 7 daysOccupancy night by night

The tile shows one column for each of the next seven nights, starting from tonight. The height of the column is the occupancy of that night, and the percentage is written inside the column, or above it when the column is too short to hold it. The fullest night has a darker green.

  • The percentage is calculated on the sellable units: those blocked or under maintenance do not count in the total, so the number tells you how much you have sold of what you can really sell.
  • Above the columns, on a single row, are each day's arrivals (in green) and departures (in red), today included, cancelled bookings left out. On a computer each number has its icon; on a phone there are just the coloured numbers. A day when nobody arrives or leaves stays empty.
  • Top right, «N arrivals» counts the bookings arriving from tomorrow to the end of the week (today's are already in the Check-in tile) and opens the arrivals list.

Next 14 days: ADR and RevPAR

For the Manager, the Assistant and the Revenue Manager the Next 7 days tile can be tapped: bottom right there is an icon to open it, and it opens «Next 14 days». For the other roles the tile cannot be tapped and the forecast is not there.

  • The columns are the occupancy of the next fourteen nights, night by night, calculated as in the tile: units blocked or under maintenance do not count.
  • ADR — the average room rate of the rooms sold that night.
  • RevPAR — the night's room revenue divided by the sellable rooms.
  • Amounts are in the property's currency. A stay's revenue is spread over its nights, not put all on the departure day as in Statistics, and board (breakfast and the like) is not included.

On Request BookingsBookings awaiting confirmation

Some OTAs send "on request" bookings that require your manual confirmation before being definitively accepted.

The cards show: guest name, check-in and check-out dates, assigned room, OTA channel, nationality and meal plan.

Tap a card to open the booking detail, where you can confirm or decline it.

Watch the deadline. On request bookings have a time limit, and the portal is the one that states it. What happens when it expires is up to the portal, not to Vezpa: no Vezpa automation cancels an unconfirmed on request booking.

New BookingsRecently received bookings

At the bottom of the page you find the list of recently received bookings, with coloured badges to distinguish them:

  • New — newly created booking
  • Mod. — existing booking modified (date changes, guests, etc.)

Each card shows: creation or modification date, guest name, stay dates, assigned room and OTA channel. Tap to open the full detail.

OTA bookings (Booking, Airbnb, etc.) appear here automatically. Bookings created from the app or the Booking Engine are also shown in the same list.

The shortcutsThe tools that depend on your role

On a phone the shortcuts sit at the top of the page, right after any banners and before Today; on a computer you find them below the 7-day tile. On a computer they all sit on one row; on a phone POS and Till, the most used, take the first row, and the others follow below, in equal parts. They are not the same for everyone: you only see the ones your role can actually use.

  • POS and Wellness to take payments at the counter.
  • «Till» to sell catalogue items over the counter: cash, card, external card or charge to a room, with a daily summary and voids. See the Till guide.
  • «Accounting», for the manager and the assistant: it opens the property's accounting documents — «Issued invoices» outside Italy with invoicing on, the «Electronic invoicing» section in Italy. It appears only if there is at least one entry; with one it opens it straight away, with more it shows a list.
  • RMS, reserved for the Manager: the log of what the automatic engine decided about prices, with the undo.
  • Activity for the Manager: who changed what, when and from where.

How the lists are builtNew bookings, arrivals, in-house

The New bookings list shows the last 50, sorted by last modification — not by creation date.

  • That is why an old booking can climb back to the top: it was modified, it did not just arrive.
  • The badge says which: New if it just came in, Mod. if it was changed.
  • The Arrivals (from the link in Next 7 days) look a few days ahead; Occupancy (from the At home tile) shows who is on the property right now.

Market and promotionsThe right-hand column, on a computer, for the Manager, the Assistant and the Revenue Manager

On desktop, for the Manager, the Assistant and the Revenue Manager, a column appears on the right with Promotions and the Market panel already open: demand in your area, comparison with competitors, where your bookers come from.

  • The Market panel only appears when there is real data: without it, only the Promotions card stays.
  • It keeps the market figure in sight while you look at your own numbers, without changing page.
  • On phone and tablet the column is not there: there is no room, and Market stays reachable from Rates.
  • The other roles do not see it: it is a pricing lever, not an operational figure.

Action LogWho changed what, when

From the Dashboard, as Manager, you can also reach the Action Log: the chronological list of every change made on the property, with author, time and origin. It shows what all staff have done, which is why it's reserved for the Manager.

See all the details in the Action Log guide.

Room not assignedWork to do, not a fault

When a booking has no physical accommodation assigned yet, a warning appears in place of the room name: a warning triangle followed by the words «Room not assigned», in red. Colour is not the only signal: the icon and the text say the same thing, so it reads in black and white too, and for anyone who cannot tell red apart.

In Management you find it in several places:

  • New Bookings — here the warning is tappable and takes you straight to the screen where you assign the accommodation, without going through the booking card.
  • The arrivals, departures and upcoming arrivals lists: the warning takes the place of the room name.
  • The birthdays list: the sentence appears next to the date of birth, in red and bold.
  • The Occupancy list: guests who are already registered but have no accommodation yet appear at the top of the list, with the «Room not assigned» notice in place of the room name. Guests who are not registered yet do not appear there: they are an arrival to prepare, not someone already in the house.
One night is enough. The warning lights up and the alert goes out even if a single night is missing an accommodation: the whole stay does not have to be uncovered.
Red here means there is work to do, not «software error»: the booking is valid, only the assignment is missing. You also see the same booking in the Exceptions row of the calendar — see the Calendar guide.

When the numbers you see were last updated

The Check-IN, Check-OUT and Units IN/OUT counters are not calculated when you open the page: they are the snapshot of the last nightly update. The lists that open when you tap them are calculated right now, and they say so: that is why a booking that came in this morning shows in the list but not yet in the number. The Deadlines page states its scope too: it shows offers already expired and still active, exactly the ones the red banner counts.

The exceptions are At home and Next 7 days: they are calculated from the calendar every time you open or refresh the page, so they follow a new booking or a blocked unit straight away.
