Counter sales with your catalogue items: bar, restaurant, shop, one sale at a time

The tillWhere it opens and how it is laid out
The till opens from the Dashboard page with the «Till» button, next to the POS. Every role that takes payments can use it; the housekeeper and the observer do not see it.
It sells the catalogue items that have «Till» switched on in «Where it is sold», in the order chosen for the till. There are also Wellness products: there is only one stock, the Catalogue one. The screen has four areas:
- at the top the cart, with the total and the lines, and beside it the keypad;
- in the middle the item buttons of the chosen department, each in its colour;
- below, the department tabs; on a wide screen, like a computer's, the top band lines up the cart, across two fifths of the screen, with a dotted line linking every line to its amount, the keypad and the departments, with the items below at full width; the departments sit next to the «Recent sales» column: today's sales, most recent first, with time, number, total and how each was paid or which room it was charged to; tapping one opens its card, with the lines and the payment, in place of the departments (the × closes it);
- at the bottom, the buttons that close the sale; on a wide screen they stand in a column to the right of the keypad, all the same size, with «Print» lowest of all; there «Print bill» is called «Print».
On a phone the till is laid out differently: at the top the total with the cart lines; at the bottom the items of the chosen department; below them, the department tabs and, in the bottom right corner, the keypad icon, which opens and closes the keypad next to the items. When the till opens you see the first department; if you have not created any departments yet there is only the keypad, with the amount you are typing above it. «Print bill» and «Collect» are icons at the top: «Collect» opens the choice of method («Cash», «Card», «Tap to Pay», «To room»). «Recent sales» are in the ⋮ menu at the top and open in a sheet; tapping a sale shows its card.
On a tablet the phone's gestures and top icons apply, but the cart is on the left and the items of the chosen department on the right, with the department tabs below them; the keypad opens below the items, and the «Recent sales» in a window.
If you manage more than one property, the «Property» icon at the top chooses which one you are selling for: the till shows only the items allowed in that property.
Items are created and changed in the catalogue: whoever manages rates can also open it from here, with the «Items» button at the top, next to «Till summary». Back in the till, the new items are already there.
Making a saleItems, quantities and free amounts
- Tap a department at the bottom, then the items: each tap adds one to the cart. Two taps on the same beer become a single line, «Beer ×2».
- To sell several at once, first type the number on the keypad and then tap the item: 3 and then «Coffee» adds three coffees.
- For a free-price item the keypad number is the price: type the amount, then tap the item.
- For something that is not in the catalogue, type the amount and tap «Charge»: the line goes into the chosen department, with its name.
- On a phone or tablet the keypad does not multiply: it is for the manual amount. To sell several pieces, press and hold the item: a card asks how many, with its own keypad; ✓ confirms, ✗ cancels. For a free-price item, after the tap the same card asks for the price.
- Tap a cart line to change its «Quantity», its «Price» (free-price items and manual amounts only) or to take it out with «Remove». A manual amount has no quantity: the cart shows «Manual amount» with the department it went into, and only its amount can be corrected. The price is typed as on the till keypad: the first digit replaces what was there and the digits come in from the cents (1, 2, 5, 0 = 12.50). On a wide screen the panel opens inside the cart list, next to the lines, instead of from the bottom, and the price is typed on the till keypad right next to it.
An item with stock tracking that has run out and is not sellable below zero is shown greyed out with «Sold out» and cannot be added. Every closed sale takes the sold items off the stock; a void puts them back.
Closing the saleFour ways, one for each situation
| Button | What it does |
|---|---|
| «Cash» | «Received» starts with the total already filled in and selected: if the customer gives the exact amount, just press «Collect»; otherwise the first digit you type replaces the total. Type in «Received» what the customer gave you: the till shows the «Change». With «Collect» the sale is recorded. |
| «Card» | You took the payment on the property's terminal, outside Vezpa: the sale is recorded as paid by card. |
| «Tap to Pay» | Card payment with the Vezpa POS (Tap to Pay or reader). It works on a phone or tablet when the POS is active; elsewhere the button stays off: see the POS guide. |
| «To room» | Choose a booking in house today (at the top you search by guest name or accommodation name and, if there is more than one, filter by room type): the lines go into its «Extras» sheet, on the bill set by the department (usually the extras bill). It is not a payment: it is paid with the booking's bill. |
Tapping «Collect» twice, or retrying after a network error, does not record two sales.
Receipt and billWhat the customer gets
After a payment the message «Sale recorded» appears with the «Receipt» button: it is the numbered payment receipt, with the lines sold, in A5 or as an 80 mm slip. It is not a tax document. A charge to a room has no receipt: it goes on the booking's bill.
«Print bill» prints the cart before taking the payment, to show the bill at the table. The sheet says that it is not a receipt.
The tax receipt
With the «Tax module» active and the Agenzia delle Entrate credentials entered, every cash or card payment issues the tax receipt (commercial document) and transmits it to the Agenzia: the notice then offers «Receipt» for the tax receipt instead of the payment receipt, and the same button is in the till summary. The tax receipt keeps cash and electronic payment apart. A charge to a room does not issue one: it goes into the tax receipt issued when the bill is closed. A void issues the cancellation of the tax receipt. Every item must have its VAT rate: an item whose VAT is still to be set stops the sale until you set it in the catalogue. Costs and activation are in the Electronic Invoicing Guide.
Till summaryThe figures of one day
The «Till summary» icon at the top of the till opens the figures of the day; the arrows move to the day before or after.
- «Collected»: cash and cards.
- «Charged to rooms»: kept apart, because it is not money in the till yet.
- «By method» and «By department»: how the totals are split.
- «Sales»: every sale with time, number and method. A void counts on the day you make it, as a negative amount: voided sales stay in the list, struck through, and a summary already printed does not change.
The «Cancel bill» icon, next to «Total», discards the bill in progress and brings the till back to how it was when opened: empty cart and keypad, first department. If the cart has something in it, it asks for confirmation first.
The summary is printed from the printer icon, in A5 or 80 mm.
Cash shiftsFloat, withdrawals and closing with a count
With shifts, whoever works the till opens it with a float, records the cash going in and out and counts the drawer at the end. They stay off until you switch them on: on the Property page, group «Modules», the «Cash shifts» switch. The manager and the assistant see it. With shifts off, the till works as described above.
With shifts on, a bar appears at the top of the till: with an amber strip it reads «No open shift»; with a green strip it shows who opened the shift and at what time.
- «Open shift»: enter the float you start with. The field suggests what was counted when the previous shift closed («Suggested float»); if you change it, explain why in «Note on the difference». Without an open shift the till does not take cash: «Cash» first offers to open one.
- During the shift, «Withdraw cash» (red) and «Add cash» (blue) record money taken from the drawer or put into it, with the amount and a required «Reason». You cannot withdraw more than the till should hold. On a narrow screen, such as a phone, the bar shows only the status: tap it and the actions open in a menu.
- «Close shift»: the till shows the «Expected cash»; enter in «Counted cash» what you find in the drawer and you see the «Overage» or «Shortage» straight away, with a note to explain it. Once the shift is closed, «Print» produces the closing report, A5 or 80 mm.
Expected cash is the float, plus the cash taken during the shift (till sales, rooms paid in cash, tourist tax paid in cash), plus cash added, minus withdrawals and voids.
The «Shift history» icon at the top, for the manager and the assistant, lists each day's shifts, also by operator, with the cash movements and the report to print again.
Voiding a saleWhen a sale has to be cancelled
In the summary tap the sale, then «Void» and confirm. What happens depends on how it was closed:
- cash or card (the property's terminal): an opposite movement is recorded; you give the money back yourself;
- Tap to Pay (the Vezpa POS): the refund goes back to the customer's card on its own. If the refund fails, the sale stays as it was;
- to room: the lines leave the booking's «Extras» sheet.
In every case the stock of the sold items is put back.
