Action Log Guide
Who did what, when, from where, and what was there before
What this screen is forWho did what, when and from where
The «Activity log» is the chronological list of everything that happens on your property. Every row carries a description of the action, who did it with the role they held at that moment, the time and the source. It is where you answer «who changed this price» and «what was there before».
How you get here
From the dashboard, with the «Activity» button. The label is deliberately short: the title of the page it opens is longer and would not fit at half width. If that button is not there, your profile is not a Manager on this property (see Special cases).
What ends up in the log
Bookings, rates, availability, guests, guest documents, payments, expenses, wellness, users and roles, automations, subscription, stock, invoices, property, rooms and portal channels. Every row also carries where the action came from, and there are six sources: «From app», «From web panel», «From Booking Engine», «From OTA channel», «Automatic» and «From support».
What you do hereFrom the switch at the top to the detail of one row
«Important only», on by default
Below the bar is the «Important only» switch (on a phone it is the first element, on a tablet or computer it sits to the right of the search), and it starts on. With the switch on, critical and relevant actions stay in view; informational ones stay out, and today those are only the automatic writes of the pricing engine — one overnight run produces a lot of them. Turn it off when you have to rebuild one precise moment minute by minute.
The search box, and what it really looks at
«Search the log» runs on its own as you type, with no need to press enter. It searches proper names — room, guest, supplier, whoever acted — and not the translated wording of the action: that wording lives in no column, it is worked out when the row is drawn. Searching the verb you read on screen returns nothing, and that is not a fault.
The information icon next to the box says the same thing in one line: tap it to bring it up.
The filter panel
The filter icon in the top bar opens «Filters»: a window on a computer, a sheet that slides up on a phone or tablet. Inside there are three menus and one command.
| Item | What it narrows |
|---|---|
| «Source» | Where the action came from. All six entries are always offered, even if nothing has ever come from that source on this property. |
| «Type» | What was acted on: «Room», «Booking», «Guest», «Rates» and so on. |
| «User» | Who acted. These are proper names, not translated entries. |
| «Remove filters» | Clears all three at once. It stays disabled until at least one filter is set. |
Every choice applies at once: there is no confirm button, exactly like the switch above. The filter icon in the bar fills in when at least one filter is set, so you can tell without reopening the panel.
Before and after, row by row
Tap a row to open its detail — only the rows that changed a value or carry a detail open, the others do not answer the tap. At the top there is «What changed»: one line per field, with the old value struck through, an arrow, and the new value in bold.
On a phone the detail slides up from the bottom; on a tablet it opens in a window; on a computer the list is on the left and the detail always stays open on the right, with the first row that opens already chosen.
Below, when the action touched several days or several rooms at once, there is «Details»: a table with the columns «Date», «Item», «Field», «Before» and «After». A rate correction across a whole period does not stop at the summary: it opens day by day, room by room. That is what answers «what price did room 7 have on 12 August, before the correction».
Scrolling and refreshing
The list is grouped by day and extends itself as you approach the bottom. To read it again from the top, pull the list down. When there is nothing to show the page says «No activity to show» — with filters on that almost always means they are too narrow, not that nothing happened.
Special casesWorth knowing before you go looking for it
A tool for the Manager alone
The log shows what every member of staff has done — assistants, housekeeper, anyone else working on the property — and that is why only the Manager opens it. The Assistant does not see it, because the Assistant is part of that staff too. It is not only the button that disappears: the server refuses the request even to someone who reached the address another way.
The history of one room
To find out what happened to one room you do not have to come back here and filter. Open its setup — «Room Setup» — and tap the clock icon in the bar, labelled «History»: the same list of rows opens, already narrowed to that room, with the count in the header. That icon, too, is for the Manager only.
Portal links
The log also tracks the links between portal rooms and Vezpa rooms, the step that decides where a portal booking lands. When a portal room is linked, a row appears such as «Portal room 12345 (Booking.com) linked to Standard».
When a code is removed, the row also says where it went: «… unlinked from Standard — now linked to Deluxe» if it was moved, or just the first half if the portal room went free again. There is one row per room type, not one per identical room. Months later, that is what answers «why does this room no longer get bookings from the portal».
How long information is kept
Rows do not stay forever, and how long depends on the importance of the action. Vezpa decides the importance when it writes the row: it is not shown on screen and it is not something you set.
| Importance | What goes in it | Retention |
|---|---|---|
| Critical | Deletions, and the changes that touch access and identity: password, role, device reset, access revoked, erasure of a guest's data, removal of a tourist tax. | 5 years |
| Relevant | Everything else a person does: creating and editing bookings, prices, rooms, guests, channels. | 24 months |
| Informational | Today, only the automatic writes of the pricing engine, recorded as a summary. It is what «Important only» keeps out. | 90 days |
| Row-by-row detail (the before/after values) | The day-by-day breakdown of a bulk change, whatever the importance of the event that carries it. | 13 months |
Once the detail's term has passed, the event does not disappear: it stays in the log with its summary, just without the day-by-day breakdown.
If something is offThe most frequent doubts, with the short answer
- I cannot find the log in the app. The entry is called «Activity» and sits in the dashboard, not «Log». If it is not there, your profile is not a Manager on this property.
- I searched a word and found nothing. Search looks at proper names, not at the verb of the action. Search the name of the room, the guest or the person.
- I tapped a row and nothing opens. Only rows with something to show open: an action that changed no value has no before and after to compare.
- A colleague is missing from the menu. The «Type» and «User» menus offer the values seen in the last 12 months. The older rows are still there: reach them with search instead of the filter.
- The detail says it is limited. A bulk change can produce thousands of rows: the amber notice says how many you are seeing out of the real total, and at the bottom there is the command that loads more.
- I am scrolling and an error appears at the end of the list. It is the next page that did not arrive: the rows already loaded stay where they are, and below there is the command to try again without starting over.
- I am looking for an action from two years ago and it is gone. Look at the retention table: informational actions stay 90 days, relevant ones 24 months. Only critical ones reach 5 years.
- The event is there but not the before/after. The value-by-value detail is kept 13 months; after that only the summary of the event remains.
- I see rows nobody made. Those are the actions with the «Automatic» source: Vezpa makes them on its own. With «Important only» on you see far fewer of them.
