Rates Guide

The price grid of your property: what a night costs, how many nights can be booked, and how far what you type actually reaches

What this screen is forThe price of a night, and how far it travels

The Rates tab is the price grid of your property: one column per day and, for every room type, three rows. This is where you write the price of a night and the minimum stay, and where you close dates for sale or reopen them; it is also where you reach the functions that affect the price but do not fit inside a cell.

The tab is visible to the Manager, the Assistant and the Revenue Manager. Other roles do not have it in the bar.

The three rows of each room type

  • the first carries the price of one night for that room type;
  • the second, headed «Min. Stay», is the number of nights below which that room type cannot be booked on that day;
  • the third, «Available», says how many rooms of that type are still free.

Room types are counted once: if you have eight apartments of the same type, the grid shows one set of three rows and the prices apply to all eight.

View and density

The grid can lay the days out sideways or top to bottom, and the choice is called «View and density»: it sits in the three-dot menu at the top right, and the same entry is also in Configuration. The orientation is chosen between «Days horizontally» and «Days vertically», and it applies to the Calendar, to Rates and to the Tourist Tax: it is not chosen three times.

Below the orientation you choose how many rows or columns to show at most — not how wide they are: the size of each is the consequence of that number. With the days vertical the entry is «Columns in view», with the days horizontal «Rows in view», and you adjust the axis that the orientation makes active. If there are fewer room types than the chosen number you see them all, without the rows growing past a comfortable height; «Automatic» picks a comfortable width in vertical and keeps the comfortable row height in horizontal. The values are 2, 3, 4, 6, 8, 10, 12, 16, 20, 24, 28, 32, 36 and 40, plus «Automatic», the default mode. Above about 24 the rows (or columns) get thin and something gives way. On this grid, with the days horizontal, the words «Min. Stay» and «Available» give way to an icon: the data is not lost, only how it is said changes, and the names column gives its width back to the days. The price can lose something of its own: once the cell no longer has room for the decimals, the whole grid switches to whole numbers — rounded to the nearest one, not truncated — and the number you see in the cell is no longer the exact price: 120.49 shows as 120, and 120.50 shows as 121. The day header shrinks too: the day of the week drops to a single letter, and only at the last step does the row with the month disappear.

The choice stays on the device you are using: it does not follow you from your phone to your laptop. For the full picture, see View and density of the grid in the Calendar guide.

Moving through time

In the bar, «Today» brings the grid back to today and «Go to date» takes it wherever you want. The «Monthly» view locks the window onto a whole month; the «Free» view lets you scroll, and as you get near an edge the grid loads more days by itself. «Filter types» shows only the types you pick, and stays on even after you close the filter panel.

On a phone only «Today», «Rate Management» and the type filter stay in the bar: every other entry moves into the three-dot menu at the top right. On a computer the bar shows more of them, and the menu keeps the rest.

What you do hereFrom a tap on one cell to actions on several rooms at once

Opening one day or a period

Selection belongs to the day strip, at the top of the grid: a tap on a day there opens the editor for that single day, on any device. For a period:

  • on phone and tablet press and hold on the strip and then drag: dragging without holding scrolls the grid, which is why the gesture starts with a long press;
  • on a computer a mouse drag on the strip is enough, because there scrolling is handled by the wheel and the side bar.

The price, minimum stay and availability rows do not select: price and minimum stay are typed directly into their own cell (see below), and the «Available» row stays read-only.

There is a third way that does not go through the grid: «Rate Management» in the bar opens a period picker first and then the same editor.

On a computer the editor opens as a panel on the right and the grid stays visible next to it; on phone and tablet it opens as a bottom sheet.

Typing the price directly into the cell

To change just the price or the minimum stay of one day, without opening the panel, tap its cell in the grid: the field becomes editable right there.

  • Enter saves the value;
  • leaving the field (tapping elsewhere) saves it the same way;
  • Esc cancels and restores the previous value;
  • leaving the field empty changes nothing.

The «Available» row stays read-only: it cannot be edited, because it is calculated from bookings.

On Windows and macOS, hovering the mouse over a price or minimum-stay cell shows two arrows ↑ ↓ to raise or lower the value one step at a time, without retyping it.

The panel is still the right place for what a single cell cannot express: a percentage variation, a change limited to certain days of the week, several room types together, or creating a promotion.

What you type in the editor

The editor shows one card per room type, each with a switch: types with the switch off are not touched. At the top there are the «Days of the week», so the change applies only to some days of the period, and the choice between «Set Price» and «Variation %».

  • «Price» — the price of one night. On a single day it is required; on a period it can be left empty, and then prices are not touched.
  • «Variation %» — raises or lowers the price that is already there by a percentage. On a single day the before and after appear under the field.
  • «Min. Stay» — the minimum bookable nights, from 1 upwards. Required on a single day, optional on a period.
The number is the price of the room, not of a person. Under the «Price» field it says how many adults that price already includes: the supplements for extra guests are set elsewhere, in the room type's pricing model. If the room type uses a flat price, the text says instead that the price covers the full capacity.

From the same screen, at the top, «Create promotion» starts an OTA promotion on the period you are looking at. It arrives with one room type already selected — the first one whose switch is on — at a suggested 10% discount: the others are added inside the form. The rest is explained in the OTA Promotions guide.

Arrival and departure days

In the card of each room type that is switched on, below price and minimum stay, there is the «Arrival and departure days» switch. When on, it shows two rows of days from «Mon» to «Sun»: «Arrival» and «Departure», all selected to begin with. On the days you deselect guests cannot arrive («Arrival» row) or leave («Departure» row).

  • It applies to the whole chosen period, even if you used the «Days of the week» at the top: those filter the prices, not this rule.
  • All days selected means no limit: it is also how you remove a rule set earlier. With the switch off nothing changes.
  • On the booking website the room type is not offered if the check-in day is closed to arrival or the check-out day is closed to departure: it stays among the unavailable ones, with the reason «Arrival not possible on this date» or «Departure not possible on this date».
  • To the connected portals (Booking.com, Airbnb and the others) the rule is sent as closed to arrival and closed to departure.
  • In the grid, in the minimum stay row, the ⊘ sign next to the number marks the days with arrival or departure closed.
  • In a booking you enter yourself the room shows the orange label «Arrival closed» or «Departure closed», but it can still be booked: for you it is a warning, not a block, because a phone booking may be exactly the exception you want.
  • «Copy Rates» also copies these days, but by day of the week, not by date: an arrival only on «Sat» stays on Saturday the following year too, when the dates shift. It takes the rules of all room types in the source period and replaces those of the destination period, as it does with prices and minimum stay. With the RMS, on destination days that already have a season, that season's days apply, not the copied ones.
  • With the RMS the same days can also be set per season, in the card of each season (see the RMS guide). The days are part of the season: a rule set here lasts until the next change of season or rule for those days.
  • When the dates searched are not available, the calendar of alternative dates on the booking website shows the days with no arrival or no departure struck through and does not accept them as the start or end of the stay, saying why. The date proposal for several rooms respects them too.
Example: Saturday-to-Saturday weeks. In the mountains, in high season: «Min. Stay» 7, «Arrival» only «Sat», «Departure» only «Sat».
Set the rule here, not on the portal's extranet. Vezpa also sends the open days to the portals: a closed to arrival set by hand on the extranet would be reopened at the next update.

How far you sell

Above the grid there is a green row saying up to which date what you type actually reaches buyers. It is not a limit you set: it is the point beyond which the connected portals and your booking site do not accept dates yet.

The wording of the row follows what you have switched on: it speaks of portals and site, of the portals only, or of your booking site only. Tapping it opens a sheet with the exact dates, the list of connected channels and, when the time comes, the button that opens the next period.

The nights beyond that date are hatched in the grid. They can be edited, and price and minimum stay are saved: they stay inside Vezpa, though, and nobody can book those dates yet.

ModelHow the boundary moves
«Rolling 2 years»moves forward on its own by one night every day; what you prepared is published when its turn comes, with nothing to redo
«Annual»stays put until you move it with «Year Opening», which becomes available from the property's year-change date

Bulk edit

«Bulk edit» applies the same change to several rooms at once over a period. There are five actions:

  • «Adjust prices» — raises or lowers existing prices, by percentage or by currency; a negative value discounts;
  • «Set price» — writes the same price on every selected night;
  • «Minimum stay» — sets the minimum nights, from 1 to 365;
  • «Close dates» — takes the selected dates off sale;
  • «Open dates» — puts them back on sale.

The step through «Preview» is not an extra step: it is the protection. The preview touches nothing and says how many days would be updated, room by room. With «Confirm and apply» the new values are written and go out to the connected channels straight away, with no further confirmation on the portal.

After you confirm, the report says, for each room, how many days were «Updated» and how many were «Skipped», with the reason for each skip: booked, maintenance, no price set, already at this value, would drop below zero, price out of range, already closed, already open. It is not a notice to dismiss: it is the result, and it should be read.

«Close dates» and «Open dates» cannot be undone. From the list of «Recent bulk edits» the «Undo» button puts prices and minimum stay back for a run from the last 90 days. The two actions that open and close dates touch availability and leave no undoable run: once dates are closed, they are reopened by hand. A host who believed otherwise would leave dates closed without knowing it.

The undo is careful: it skips the days someone changed after that run instead of overwriting them, and tells you how many it skipped.

Copy Rates

«Copy Rates» copies one period onto another, day by day: the first day of the source period lands on the first day of the destination, the second on the second, and so on. The minimum stay travels with the price. You can apply a surcharge by percentage or by currency, and this is the usual way to build one year's price list from the previous one.

The sheet has no per-channel markup rows: only the local price row is left. The copy writes the prices that apply to you; each portal's percentage difference is applied at sending time, and is set in «OTA Differences».

  • Days with no price stay with no price: they are not marked up, otherwise an empty day would produce a meaningless figure.
  • If the surcharge takes a price below zero, that day is treated as having no price, not as being free.
  • The copy does not go out to the portals under either model: it writes into the Vezpa calendar and stops there. With the «Annual» model the copied period is published with «Year Opening»; with «Rolling 2 years» that button does not exist, and the dates go out on their own when the boundary reaches them.
  • To keep the days of the week aligned, pick as destination start a day that falls on the same weekday as the source period: the screen tells you while you choose.

Export rates

«Export rates», in the bar (on a phone in the three-dot menu), downloads the grid as a CSV file. First it asks for the period: it starts from the one you see on screen and covers at most 400 days, like the grid.

  • The file has one row per day and room type, with: day, room type, price (in the property's currency), free and total units, minimum stay, closed to arrival and closed to departure (marked with an X).
  • If the room type filter is on in the grid, only those types are exported.
  • A day without a price stays empty.
  • Columns are separated by a semicolon: Excel opens the file already split into columns.
  • You save or send the file from the device's share menu.

The prices are the direct ones, those of the grid: not the ones marked up for a booking portal.

OTA Differences

«OTA Differences» sets, for each connected channel, how far above your own price the portal price should sit. It is a percentage, and it is applied at sending time: the calendar keeps a single price.

A negative difference is not allowed: you would sell on the portal below your direct price while also paying the channel's commission. It is the same percentage the channel asks for when you connect it: here you revise it when needed. If a price on a portal does not look right, you fix the price in Rates or this percentage — there is no separate per-channel calendar to edit.

Items

«Items» is the catalogue of what you charge during the stay, grouped by department: an entry has a name, a department and a price — a breakfast at the bar, a dinner, a laundry service. You create, search and delete them here; you charge them from the booking card. Departments and items are now managed in the catalogue: see the Catalogue Guide.

These are not the meal plans. Room only, bed & breakfast, half board and full board are not managed here: they live in the room configuration, together with the room type's pricing model.

Extra Services

The extras you sell on top of the night — the cot, parking, final cleaning — no longer have a button of their own: they are catalogue items with the «Stay extra» card. You open them from «Items», in the «Servizi» department, where Vezpa has moved the list you had all by itself, with prices, photos and descriptions. How to set them up — the price per night or per quantity, «Always applied», selling on your site in the «Customise your stay» step, the photo, the description and «Translate into the other languages» — is explained in the Catalogue Guide.

Tourist tax, promotions and statistics

The same bar leads to «Tourist Tax» (where the property's country has one), «Promotions» and «Statistics». They are screens of their own, each with its guide. With the RMS module active, the three-dot menu also has «RMS», which takes you straight to the RMS page (you see it if you can edit rates): RMS guide.

Rates model

«Rates model» chooses how the calendar dates move.

  • «Annual» — the calendar runs from 10 January to 10 January of the following year, and from August you decide when to send next year's prices.
  • «Rolling 2 years» — you publish up to two years ahead and the dates advance on their own every night; prices can be edited up to three years ahead, one year beyond publishing.

Moving from Annual to Rolling with dates already waiting to be published, Vezpa asks whether to send them now or later.

Activating a new room type on the portals

When you create a new room type and you have connected channels, «Enable OTA» appears in the bar with the number of room types waiting. It tells the portals that the type exists and at what prices it should be sold.

You no longer pick a source channel. The prices of the new room type come from the local calendar, and each portal receives them with its own percentage difference applied at sending time.

Special casesWhat the screen does only in certain conditions

When the green row is missing

The row above the grid appears only if you are selling somewhere. If you have no active OTA channel and your booking site is off, there is no boundary to declare and the row is not drawn: it is not a fault, it means nobody is receiving your prices yet. The grid works all the same, and what you type stays ready for when you switch a channel on. The row also stays silent in the rare case where the property has no calendar dates set yet: there is simply no boundary to work out.

The row is visible to every role that opens the page: knowing how far you sell is not a privilege. The button that opens the next period, inside the sheet, appears only to those allowed to write rates.

Room types that do not price per person

A room type can have a flat price: the number you type covers the whole room, full capacity included, and does not change with the number of guests. In that case the text under the «Price» field says so, and states how many guests are included. Other types can instead be derived as a percentage of another one: there the field you see is the percentage, not an amount.

Why a bulk edit skips days

The report lists the reasons, and none of them is an error:

  • booked and maintenance — that night cannot be closed or reopened: it is already sold or it is out for works;
  • no price set — a percentage change on a day with no price has nothing to work on;
  • already at this value — the day already carries the value you are writing;
  • would drop below zero and price out of range — the result would not be a sellable price;
  • already closed and already open — the date is already in the state you are asking for;
  • outside the calendar — the period you picked runs past the dates the calendar covers.

If you work with several properties

A bulk edit works on the active property: the list shows its rooms, and to work on the others you switch property. If a room type carries the same name in two properties, the screen warns you before applying, because the name alone does not tell them apart.

If the automatic pricing engine is on

When Revenue Management is moving the prices of a room type, the bulk-edit preview tells you before you apply. It blocks nothing: it is there so you know that tonight the engine may revisit that price.

If the source period is shorter than the destination

The copy stops when the source period ends, and the sheet tells you from which date the days are left uncopied. Check the rates from that day on.

When, after a price, the app asks to reopen some dates

When you connect the first channel, Vezpa closes on its own the free nights that do not have a price yet: without a price they cannot be sold. A closure, however, never reopens on its own, and a price added later is not enough to put them back on sale.

So when you save a price — from the cell or from the edit panel — on nights that had no price and are closed, «Reopen the dates?» appears, with the period, the rooms and the number of nights:

  • «Yes, reopen them» — they go back on sale on your website and on the connected channels;
  • «No, keep them closed» — they stay as they are, and you reopen them whenever you like, like any other closed date.

Only those nights are proposed: a date that already had a price and that you closed yourself never shows up, and a night booked in the meantime is not touched.

Why a day has that price

When the automatic price engine (RMS) is on and you open a price cell to edit it, a small round button with a question mark appears in the top-right corner of the cell. It opens «Why this price»: the engine's decision for that day in one sentence (for example, high occupancy, price raised by 8%), the price before and after, the minimum nights before and after, the limits that stopped the price, such as the season ceiling, and when the decision was made. If the price was then changed by hand, it says so too. Amounts are in the property's currency.

Under the sentence, «How the price was set» shows step by step how the day's price was reached. It starts from the «Season price» or the «Calendar price»; then there is one line for each signal that pushed the price, with its percentage (occupancy, booking pace, holidays and long weekends, history from past years, local market, far-out dates), and the «Last minute» phase, if there was one. When a limit cut the push, «Change applied» says how far the price really moved, and below it come the limits that stopped it and the season's range («Held by the season's range»). At the bottom you find the «Final price» and the season's minimum and maximum. All amounts are in the property's currency. Decisions taken before 20 October 2026 do not have this detail: for those there is only the sentence.

If the engine did not change anything on that day, the sheet tells you why: the engine is off; the room type is excluded from the engine; the day has no season (assign one from the «RMS Calendar»); the day is in a blocked period; an engine decision on that day was undone, and the veto keeps it still; or the engine reviewed the day and had no reason to change it. Opening the explanation saves nothing: a value you did not change is not written again. The button is shown to whoever can edit rates; a decision is undone from «RMS actions», by the director only.

Who can write

The three roles that have the tab in the bar — Manager, Assistant and Revenue Manager — can also write: prices, minimum stay, year opening, bulk edits, promotions. There is no role that opens Rates read-only. The server still checks the permission on every write, and refuses it to anyone without it, even arriving by another route.

If something is offThe most frequent doubts, with the short answer

  • I drag on the grid and the page scrolls instead of selecting. Selection belongs to the day strip, at the top: on phone and tablet a period is taken by pressing and holding and then dragging there. On a computer a mouse drag on the strip selects. On the price and minimum-stay rows, dragging does not select anything.
  • I tapped the price cell and I am typing into it instead of the panel opening. That is the current behaviour: price and minimum stay are edited directly in the cell. For a percentage variation, a filter on days of the week, or several room types together, tap a day on the strip at the top instead, or use «Bulk edit».
  • I changed a price and the portal shows a different one. That is expected: the portal receives the price with its channel's percentage difference — the one you gave when connecting it, revised in «OTA Differences» from the Rates bar.
  • I cannot find the calendar of a single portal. There is none: prices are written once here, and portals receive them with the channel difference applied at sending time.
  • I typed a price past the green row and it is not on the portal. Those nights are not published yet. With the Rolling model they will arrive on their own; with the Annual model they are opened with «Year Opening».
  • I cannot see «Year Opening» in the bar. It appears only with the Annual model and only from the year-change date onwards. With Rolling it is not needed.
  • The bulk edit skipped some days. Read the report: next to each room there is the number of skipped days and the reason. Those are normal conditions, not errors.
  • I closed some dates by mistake and cannot find the undo. Closing and opening dates leaves no undoable run: they are reopened with «Open dates» over the same period.
  • The undo restored fewer days than it had changed. That is deliberate: days someone touched after that run are not overwritten.
  • I copied a period and the empty days stayed empty. That is deliberate: a day with no price is not marked up, otherwise a figure built on nothing would go out to the portals.
  • I copied the rates and nothing changed on the portals. The copy only writes inside Vezpa. With the Annual model the copied period is published with «Year Opening»; with the Rolling model there is nothing to press: the dates go out on their own when the boundary reaches them.
  • I cannot enter a negative OTA difference. It is not allowed: you would sell on the portal below your direct price while also paying the commission.
  • I switched off «On sale on your site» on a mandatory extra and the guest no longer pays it. That is expected: on the booking site that switch is a gate, and an entry the guest cannot see is not charged. From the app you can still add it by hand.
  • I am looking for meal plans in «Items» and they are not there. «Items» is the catalogue of charges by department. Meal plans live in the room configuration.
  • The grid is empty. Check the room type filter: it stays on even with the filter panel closed, and with a selection that matches no room there is nothing left to show.
  • I added the price, but availability stays at 0. Those nights were closed because they had no price, and they stay closed until you reopen them: answer «Reopen the dates?» with «Yes, reopen them». If you answered no, or you set the price with the bulk edit, reopen them like any other closed date.
The step-by-step guide inside the app can be reopened whenever you like from the three-dot menu at the top right: it highlights one element at a time and touches no data. The question-mark button, the one that sits in the bar on a computer, reopens this page instead.
