Housekeeping & Rooms Guide
The day's rooms, their state and the notes for the floor
What this screen is forOne day's rooms, one card each
The screen is called «Housekeeping & Rooms» and it is the only one in the app you see with the housekeeper role. It shows the rooms of one day at a time, one card each, with what you need to prepare them: who is leaving, who is arriving, how many guests, the children's ages, and what cleaning state the room is in.
It is not a list of bookings: it is the list of the work. That is why a room nobody leaves and nobody takes still shows up, with its state, and a booking that has no room yet shows up separately (see below).
The four cleaning states
Every card carries a row of four buttons: you tap the state you want to bring the room to, and the lit one says how it is right now. The same state also shows in the badge at the top of the card.
| State | What it says |
|---|---|
| «To clean» | The room is waiting for you. Red. |
| «Cleaning» | Somebody is working on it right now. Orange. It counts for today only: a job started yesterday and never closed goes back to «To clean» by itself. |
| «Cleaned» | The room is done. Green. |
| «Inspected» | The room is done and has been checked. Under the buttons the line Inspected by … appears, with the name of whoever checked it. It lasts until the room is cleaned again: then it goes back to «Cleaned». On a room with guests it counts for the day, like the cleaning. |
On rooms whose guest stays on tonight too, the words «Stayover cleaning» appear above the buttons: it is the daily cleaning of the occupied room, not an interrupted cleaning. The buttons are the same four; on these rooms the cleaning counts for the day, and tomorrow the room goes back to «To clean» by itself.
The boxes at the top count, and filter
Above the cards there is a row of boxes, each with a number: «Departures», «Arrivals», «Occupied», «Available», «To clean». They tell you at a glance how much work there is, and they double as filters: see below. At the end of the row there is «My rooms», which does not count but filters: it shows only the rooms assigned to you for today.
What you do hereMark, filter, change day, write a note
Marking a room
On the card, tap the button of the state you want to bring the room to: «Cleaning» when you go in, «Cleaned» when you have finished, «Inspected» after the check, «To clean» to put it back in the queue. You do not have to go through all of them: you can go straight to «Cleaned». The change goes out at once and there is nothing to save.
Assigning the room to a housekeeper
Under the buttons there is a box with the name of today's housekeeper, or «Assign to…» if the room does not belong to anyone yet. Tapping it opens the list of users with the «Housekeeper» role: pick a name, or «None» to remove the assignment.
The assignment counts for today only: tomorrow the room is to be assigned again, without anybody having to remove it. If the list is empty, the property has no user with that role: one has to be added from «Roles and permissions», a management page — ask whoever runs the property.
Several rooms at once
Press and hold a card: a checkbox appears on every card, and from then on a tap ticks or unticks the room. At the bottom of the screen a bar appears with the count — for example 3 selected — and three actions that apply to all the ticked rooms: «Assign to…», «Mark clean» and «Do not disturb». The x at the end of the bar cancels the selection. While you are selecting, the buttons on the cards stay still: you work from the bar.
Seeing only part of it
Tap one of the boxes at the top and the list narrows to those rooms; «Filter» appears above with the category you picked. To clear it there is «Show all». It holds one category at a time: tapping another replaces the first, it does not add to it. «My rooms», on the other hand, adds up: switched on together with a category, it shows only your rooms in that category.
Changing the day
Above the list there is the date bar. The two arrows move one day — «Previous day» and «Next day» — and tapping the date opens the calendar so you can jump anywhere, up to a year back or forward. When you are not on today, «Today» appears and brings you back with one tap.
Writing a note on the room
On the card, the note icon opens that room's «Notes» sheet: you write there what the next shift needs to know — a missing towel, a leak, something a guest left behind. It is saved with «Save». The note stays attached to the room and reception reads it too.
The «Do not disturb» sign
At the bottom of every card there is the «Do not disturb» button. Tap it when the guest does not want anyone to come in: next to the card's other badges a dark «Do not disturb» badge appears, easy to spot while you scroll the list, and the button becomes Remove "Do not disturb", which switches it off.
It counts for today only: tomorrow the room goes back into the cleaning round by itself, without anybody having to remove it. It does not change the cleaning state — a room to clean stays among those to clean — it only says not to go in now. Reception can set it too, from its own rooms page: in that case you see it appear here, on the room's card.
Printing the list
In the top bar, the printer button, «Print list», prepares a PDF of the rooms of the day you are looking at, to print or to hand to whoever cleans. It holds all the rooms of the day, including those a filter is hiding. The list is grouped by housekeeper, and the rooms that belong to nobody are together under «Unassigned». For each room it carries the room status, the cleaning state (with the «Do not disturb» sign if there is one), the guest, the arrival time and the notes.
Looking ahead: the calendar
In the top bar, right after the printer, there is the button that swaps the two views: from today's cards to the «Calendar» and back to «Housekeeping & Rooms». The calendar covers twenty-four days: the three before today, today itself and the twenty after. If the property has loaded a shorter period the grid stops earlier: that number is the maximum, not a promise. It is there so you know in advance which day will be heavier, instead of finding out that same morning.
Group by room type
From your account menu, open «View and density»: the «Group by room type» switch applies to this calendar too. It is off to start with and the choice stays on the device. When it is on, the rooms are gathered by room type and each group opens with a row showing the room type name and the number of rooms, for example Double (4), and for each day how many rooms are free out of the total and the occupancy percentage, for example 1/4 · 75%, in red when nothing is left free. Rooms that are blocked or under maintenance do not count in the total.
The top bar
Next to the printer and the button for the two views there are four more controls: «?» to reopen this guide or replay the on-screen guide, the light or dark theme, the app language and your account menu. From the account menu you change your own password — every role is entitled to that, you do not have to ask management — and you sign out.
Special casesWhat happens in certain conditions, not always
Guests arriving without a room
Above the cards the «No room assigned» box may appear: these are that day's bookings that have not been given a room yet, with their status, the name, the dates and the number of guests. They carry no cleaning controls, because there is no room yet to mark them on. As soon as somebody assigns one, that room shows up below among those to prepare.
The box stays there while you filter with the boxes at the top, and it does not appear at all when no booking is in that condition.
Children's ages
Where a booking brings children, the declared age of each of them appears under the guest's name. It is there to let you prepare the room before you meet whoever will sleep in it: cot or bed, high chair, the activities the child can join.
An age reads in three forms: a number of years; «Under 1 year» for a child who has not turned one yet; «Age not declared» when the age was never written into the booking — it happens on older bookings and on those from portals that send a child without their age. It is not a fault: it is a missing detail, and for that room it is worth asking reception.
The line appears on the room cards and inside the «No room assigned» box, and it is the same line: somebody arriving today without a room needs the cot just like everybody else. It does not appear at all when the booking is adults only.
The arrival time
On the arrival day, the guest box on the card may show, next to a clock, the time the guest declared: for example «Arriving at 2:30 PM». It helps you decide which room to prepare first.
It appears only on the arrival day and only if the guest has given it. If it is missing it is not a fault: the time was simply not given.
When the list is empty
Two different messages, and they do not mean the same thing: «No rooms» means there is nothing for that day; «No rooms with this filter» means the rooms are there but the filter is hiding them. In the second case tap «Show all».
When a note notification arrives
Tapping the notification of a new note opens the room list with that note already in view. If the note concerns a property other than the one open, the app first asks whether to switch property or stay where you are.
If something does not add upThe most frequent doubts, with the short answer
- I marked the wrong room. Tap the right state on the card: going back works like going forward, with one tap and no confirmation. If you marked it «Cleaned» by mistake, tap «To clean».
- I tapped a calendar bar and nothing happened. That is deliberate: from this dashboard the calendar is for looking only.
- A room is missing. Check whether a filter is on — at the top you would read «Filter» with the category — and tap «Show all». If no filter is on, check you are on the right day.
- A child has no age next to them. If you read «Age not declared», the age was never written into the booking: ask reception for it. If there is no age line at all, the booking is adults only.
- A guest arrives today but I cannot see their room. They have probably not been given one yet: look at the «No room assigned» box above the cards.
- Yesterday I set «Do not disturb» and today the room is back like the others. That is deliberate: the sign lasts one day only. If the guest asks again, set it again.
- On an occupied room I read «Stayover cleaning» above the buttons. It is the daily cleaning for guests who stay on, not an interrupted cleaning: use the buttons as on the other rooms.
- Yesterday a room was «Cleaning» and today it is «To clean». That is deliberate: «Cleaning» counts only on the day it was set, and a job never closed cannot stay half-done forever.
- An «Inspected» room has gone back to «Cleaned». It was cleaned again after the check: the inspection counts for the cleaning it checked, not for the one after.
- Yesterday the room was assigned to me and today it says «Assign to…» again. That is deliberate: the assignment lasts one day only.
- I tap «Assign to…» and there are no names. The property has no user with the «Housekeeper» role: whoever runs the property adds one from «Roles and permissions».
- «My rooms» shows nothing. No room has been assigned to you today, or a lit box is hiding them: tap «Show all» or switch «My rooms» off.
- The printout has rooms I cannot see on screen. That is deliberate: the printed list carries all the rooms of the day, including those hidden by a filter.
- I want to change my password. Your account menu, top right. You do not have to ask anybody.
- I only see this screen. That is how the housekeeper role works: the other pages of the app are not half-hidden from you, they simply are not there.
