Bed and breakfast and inn software: what a US innkeeper needs in 2026

Many bed and breakfasts and small inns still run on a paper calendar, a booking extranet and a spreadsheet for lodging tax. It works until a phone booking and an online booking land on the same room for the same night. This guide looks at what sets a B&B apart from a hotel or a vacation rental, and what software for innkeepers should handle in 2026.

In short
  • A B&B sells the room with breakfast, often to a mix of direct, Booking.com, Expedia and Airbnb guests.
  • One calendar for every channel matters more with six rooms than with sixty.
  • Lodging tax, deposits and cancellation policies should run from the booking, not from a spreadsheet.
  • Local licensing, food permits and zoning are separate from software: check them with your city and state.

What makes a B&B different

A bed and breakfast sits between a hotel and a vacation rental. You sell individual rooms, like a hotel, but you are usually the owner, the cook and the front desk at once. Breakfast is part of the product, guests expect personal messages, and many come back year after year or book by phone. Rules differ by state and city: depending on where you are, a B&B may need a business license, a lodging or short-term rental permit, a food service permit for breakfast, a zoning approval and fire inspections. None of that is handled by software, but the software should make the paperwork that follows easier.

What the software must do

Sell the room with breakfast

The rate you publish should include breakfast, on your website and on every channel, and you should be able to charge differently for one or two guests in the same room. If you also offer dinner, a picnic basket or a bottle of wine, those extras should go on the room's folio.

One calendar for every channel

Booking.com, Expedia, Airbnb, sometimes a B&B association site, plus phone and email bookings: with six rooms, every double booking costs you money and reviews. You need one calendar that updates every channel at once, and a booking engine on your own site to cut commissions. Our guides to the channel manager and to direct bookings go deeper.

Deposits and cancellation policies

Innkeepers lose real money on late cancellations. The software should take a deposit or store a card when the guest books, apply your policy automatically and send a payment link for the balance. At the front desk, being able to take a card on your phone saves renting a terminal.

Lodging tax

State, county and city lodging taxes can stack, and some channels collect part of them for you while others do not. The software should calculate the tax per booking as a percentage of the rate, so you know what you owe for direct bookings. The rates are in our lodging tax guide by state.

Messages that repeat

Confirmation, directions and parking, arrival time, breakfast hours, a thank-you and a review request: these messages are always the same and can go out on their own. Our guest message templates give you a starting point.

Prices by season

Fall foliage, graduation weekends, summer on the coast: an inn's demand moves with the calendar. Seasons and minimum stays should be set once and pushed to every channel, as explained in the guide to seasonal pricing.

Moving off the spreadsheet

Start by entering confirmed future bookings, then rooms and rates, and connect the channels last, when the new calendar is complete. Plan on half a day for six rooms. Keep the old calendar for a week or two to check that each new channel booking lands in the right place, then let it go: two calendars kept at once are exactly what causes double bookings.

Retire the paper calendar. One calendar for every channel, deposits and lodging tax built in.

Frequently asked questions

What is the best software for a small bed and breakfast?
The one that keeps a single calendar for every channel, includes breakfast in the rate, handles deposits and lodging tax, and does not cost more than a few nights a year. Compare the full monthly price, because some tools charge extra for the channel manager or the booking engine.
Do I need a channel manager for a six-room B&B?
If you sell on more than one website, yes. With few rooms, a single double booking means turning away a guest who has already paid. A channel manager built into the B&B software updates every channel from the same calendar.
Does the software handle lodging tax?
Vezpa calculates lodging tax as a percentage of the rate on each booking, so you know what to remit for direct bookings. Filing and paying the tax stays with you, and some channels collect part of it on your behalf.
Which Vezpa plan fits a small inn?
Smart, at $39 a month, covers up to 8 rooms with channel manager, booking engine, online check-in and automations. Smart+ adds staff logins and housekeeping if you have a team.
